Chasing Cattle Dog Boarding Privacy notice

This privacy notice explains how we use the information you share when you request a stay, send us a message or leave a review, and the choices you have.

Chasing Cattle Dog Boarding is a small, home-based dog boarding business in Midlothian, Virginia. We ask only for what we need to care for your dog well, and we never sell your information.

Who we are

Lucky runs Chasing Cattle Dog Boarding ("we", "us") from our home in Midlothian, VA. This notice explains how we handle the information you share through this website, mainly our Request a Stay form, our contact form and our review form.

What we collect

When you request a stay, the form asks for:

  • About you: your name, phone number and email address.
  • About your dogs: name, age, sex, whether they are spayed or neutered, breed, weight, whether they are crate-trained, and how they are with other dogs and with people.
  • About the stay: drop-off and pick-up dates, feeding instructions, medications and health needs.
  • About meeting: whether it's your first stay, when you could visit for a meet-and-greet, and any notes you add.

Your request also records that you agreed to our Boarding Agreement, with its version and the time you sent the request. If we confirm a stay, we also keep your dog's vaccination and health records, your veterinarian and emergency contact details, and, if you give it, your permission to post photos of your dog.

When you send a request, we also keep a record that you agreed to this privacy notice (the version and when), and two codes made with a secret key: one from your internet (IP) address and one from your answers. We use them only to limit how many requests one connection can send and to spot the same request sent twice, to keep out spam, and we delete both automatically once your request is a day old.

Our forms never ask for payment details, so please don't include any.

We cover our contact form and our review form under Messages and Reviews below.

How we use it

  • To reply to your request and check availability.
  • To answer your messages, including changes to or cancellations of a booked stay.
  • To arrange a meet-and-greet and decide together whether a stay is a good fit.
  • To care for your dog safely: meals, medications, health needs and play.
  • To keep in touch during the stay, including photo updates.
  • To reach your veterinarian or an emergency clinic if your dog needs care.

We don't sell or rent your information, and we don't use it for advertising.

Who sees it

  • Lucky, who runs Chasing Cattle.
  • Google (Google Workspace), which runs our email at info@chasingcattle.com. The website sends us the alerts described below through that account. See Google's privacy policy (opens in a new tab).
  • Cloudflare, which delivers this website to your browser over a secure connection. Pages and form answers pass through its network on their way between you and us, and it sees technical details such as your IP address. See Cloudflare's privacy policy (opens in a new tab).
  • Your veterinarian or an emergency clinic, only when your dog needs care.
  • Anyone else only when the law requires it.

Each provider handles your information only to provide its service to us.

We save everything sent through our forms in our protected admin area, and we get an email alert in our inbox, so we can answer you quickly:

  • A stay request alert includes your name, phone number and email address, your dates, whether it's your first stay, when you could come for a meet-and-greet, your dogs' basic details (name, breed, sex, whether they're spayed or neutered, age, weight and crate training) and your notes. Feeding, medication and health details, and how your dogs are with other dogs and with people, stay in the admin area.
  • Messages from our contact form reach our inbox in full, so we can reply to you directly.
  • A review alert includes your review, your star rating, the name shown with it and your dog's name. It never includes your email address.

How long we keep it

  • Stay requests that don't become a confirmed stay, or whose stay is cancelled: deleted automatically 12 months after they're sent.
  • Messages from our contact form: deleted automatically 12 months after they're sent.
  • Client records for dogs who stay with us: kept while you're a client, and only as long as we need them for your dog's care, our records and our insurance.
  • Signed client forms: kept only as long as we need them for our records and our insurance.
  • Email alerts, and emails you send us: kept in our inbox only as long as we need them.

After that, we delete digital copies and shred paper ones.

Cookies and analytics

This site does not use advertising cookies or any analytics tool. Its only cookies are the sign-in cookies of the owner's admin area.

While you fill in the Request a Stay form, your answers are kept in that browser tab only, so the Back button or a reload doesn't lose them. They are removed as soon as the request is sent, or when you close the tab. Our other forms don't save your answers in your browser.

Photos of your dog

Photo updates during a stay are just for you. We only share photos of your dog on our website if you agree on the photo consent form, and you can change your answer at any time by contacting us.

Messages

When you send us a message with our contact form, the form asks for:

  • What it's about: a question, a change to a booked stay, a cancellation or something else.
  • Your name and email address, and your phone number if you'd like to give it.
  • Your dog's name, if you'd like to include it.
  • For a change or a cancellation, the drop-off date of the booked stay.
  • Your message.

We use these details to reply to you and, when your message is about a booked stay, to handle the change or cancellation.

When you send a message, we also keep a record that you agreed to this privacy notice (the version and when), and two codes made with a secret key: one from your internet (IP) address and one from your message. We use them only to limit how many messages one connection can send and to spot the same message sent twice, to keep out spam, and we delete both automatically once your message is a day old.

Lucky reads your message in our protected admin area, and it also arrives in our inbox in full, so we can reply to you directly. We delete messages automatically 12 months after you send them.

Reviews

If your dog has stayed with us, you can leave a review on our reviews page. The review form asks for:

  • The name you'd like shown with your review, for example your first name and last initial.
  • Your dog's name, if you'd like to include it.
  • Your star rating and your review.
  • Your email address.

We also keep a record that you agreed to publication (the wording you agreed to and when), and a code made from your internet (IP) address with a secret key. The code's only use is to limit how many reviews one connection can send, to keep out spam, and we delete it automatically once your review is a day old.

We use your email address only to confirm you're one of our clients and, if needed, to ask you about your review. Your email address and the IP code never appear on the site. We publish only the name you chose, your dog's name, your rating, your review and its date.

Every review is read before it appears. We publish honest reviews whether they're positive or negative, and only hold back spam, abuse, private information or text that isn't about a stay with us. We never change your words, but we may shorten a full surname to an initial.

  • Reviews waiting for approval are kept until we've read them and decided.
  • Reviews we decide not to publish, or take down, are deleted 90 days after that decision, together with the record of your consent.
  • Published reviews stay on the site until you ask us to remove them.

To have your review removed, email info@chasingcattle.com with "Review removal" in the subject line. We'll take it off the site within a few days and delete it, together with the record of your consent, within 90 days.

Your choices

You can ask us to:

  • Show you the information we hold about you and your dogs.
  • Correct anything that's wrong or out of date.
  • Delete your information.

To make a request, email info@chasingcattle.com with "Privacy request" in the subject line, or send it with our contact form. We'll reply as soon as we can, and within 30 days at the latest. If we need to keep some records, such as signed forms, for legal or insurance reasons, we'll tell you which ones and why.

Keeping it safe

Only the people listed above can see your information. We store requests, messages and reviews sent through this website in our own database, which we open only through an admin area protected by a password and a one-time code sent by email. We keep other digital records, including our email, in password-protected accounts, and paper records stored securely at home. No website or email is perfectly secure, so please don't send anything highly sensitive through our forms.

Children

This site is meant for adults arranging care for their dogs. We don't knowingly collect information from children under 13.

Changes to this privacy notice

If we change how we use your information, we'll update this privacy notice and the date at the top.
